Use this article when you need to change which data fields are included in your CollegeVine import β for example, adding a new field to support a Mission, removing a field that's no longer relevant, or renaming a field in your CRM.
Step 1: Update your CRM export
Start in your CRM. Update the query, report, or export configuration to add or remove the relevant field so that the next export file reflects the change.
Adding a field: Make sure the new column is included in your export and populated for the relevant records
Removing a field: Remove the column from your export
Step 2: Trigger the import
The remapping process is triggered on the next import to CollegeVine. You can either wait for your next scheduled import, or kick it off manually:
Manually trigger the export from your CRM
Go to the CollegeVine UI and hit Import to pull in the updated file
Step 3: Remap fields in the CollegeVine UI
Once the updated file is imported, update your field mapping in the CollegeVine UI:
Adding a field: Map the new column to the appropriate CollegeVine property (or create a custom property if needed). Follow Mapping Fields in CollegeVine for guidance.
Removing a field: This import will detect fields that are no longer included in the import. You will be prompted to affirm, with checkboxes, which fields you will no longer import.
Note: If you remove a field from your export, CollegeVine will retain the last synced value for that field on each student record. If you also want to remove the historical data, reach out to your CollegeVine team β they can archive the field and its data for you.
FAQ
Can I edit a field after it's already been imported and mapped β for example, rename it or change its type?
No. Once a field has been imported and mapped in CollegeVine, it can't be edited directly. If you need to make a change, contact your CollegeVine team to archive the existing field, then remap the updated field on your next import.
