Using email to train your AI Recruiter

What is the Email Trainer?

The Email Trainer is a tool within CollegeVine that lets you send past and current marketing emails to your AI Recruiter’s knowledge base. The AI Recruiter analyzes the tone, structure, and messaging strategies to learn how your institution communicates, helping it generate aligned and consistent content.

How to use the Email Trainer

Follow these steps to start training your AI Recruiter with your email content:

  1. Log in to your CollegeVine account.

  2. Navigate to AI Recruiter > Vault > Knowledge Base > Email Trainer.

  3. Under Approved Senders, add the email addresses that are authorized to send training emails.

    • Only emails received from approved senders will be processed.

  4. Click Add, type in the desired email address, and then click Save.

  5. You will see a unique email address generated for your AI Recruiter.

  6. Copy this email address and use it as the recipient when forwarding marketing emails from your institution.

  7. Once emails are received, they will appear under the Emails Indexed section.

    • From here, you can review, download, or delete individual emails as needed.


The Email Trainer ensures your AI Recruiter reflects your institution’s voice and communication style. By forwarding representative emails from your marketing campaigns, you help the AI better connect with students in a familiar and trustworthy tone. Be sure to set up your Approved Senders list and start forwarding content to build a robust training base.
