What does the onboarding process for AIOS entail?

We intentionally structure your AIOS implementation into two distinct phases:

  • Phase 1: General AI Agent Enablement

    In this phase, your AI agent is trained to handle general student questions that do not require access to personal data from your Student Information System (SIS). This allows the AI to start providing value quickly—supporting students and easing staff workload.

    What to Expect During This Phase:

    • AIOS Vault Training

      Upload documents and resources that reflect your institution’s policies, procedures, and common student questions. This helps train your AI to provide accurate and institution-specific answers.

    • Communication Mode Setup & Testing

      Configure how your AI will interact with users across different channels—starting with Email, followed by SMS, phone, and web chatbot. Email will be prioritized first as this is the most legible and will enable thorough testing, before configuring other comm modes.

      During this process, you will identify which departments the AI should support. The rollout will begin with one department and expand to others as needed.

  • Phase 2: Data Integration & Authentication

    Once the AI is successfully handling general inquiries, we’ll enable data-driven responses by integrating with your internal systems.

    What to Expect During This Phase:

    • Integration

      Connect your AI agent with systems like your Student Information System (SIS) to allow access to key student data.

      Based on Phase 1 insights, we’ll identify the specific data points needed to personalize responses. Our team will work with you to define the technical integration requirements.

    • Authentication

      To protect student information, we’ll implement Multi-Factor Authentication (MFA). This includes setting up SAML integration with your institution’s Identity Provider (IdP) for secure login and verification.

    Further documentation will be provided when you reach this stage. Our team will work closely with your IT and data teams to guide integration and ensure a secure setup.
