Transfer and map document / files associated with individual students (transcripts, applications, letters, etc.) from [College] to CollegeVine
Note: The asset sync will only be successful if a constituent exists from the constituent sync. The unique identifier from the constituent sync needs to exist within the index file.
Setup
Log into the CollegeVine Agent Platform at platform.collegevine.com/agents by navigating to “Agent Platform” by clicking your profile in the top right corner
Once you click “Agent Platform”, you should see this page
Select Settings -> New
Select Asset Sync, and input your SSH public key and IP Address (see this article to learn how to generate the SSH key)
Set up the Import and Export query on your system. You will see the exact import and export paths in the UI
After you have noted the Import / Export paths, you will select the 'unique identifier' you are using for the constituent (i.e email)
You will then define the import schedule, and map the columns of your index file to the CollegeVine properties.
The index.csv file needs the following columns (see example photo below):
'Reference Unique IDs ' - this is the unique identifier associated with the constituent (i.e. email)
'Asset type' - this is the type of material you are uploading (i.e transcript, application)
'File Name' - this should be the exact name of the pdf
💡Tip: You can name your column names however you like, but they must map to the correct “Required columns for sync”. Ex. “Reference Unique IDs” can be mapped to a column called “Email”.
Note: A student can have multiple associated assets/files, but they must be separate rows.
You can then download your index.csv file template and use this in your uploads
Finally, update your export to ensure it is exporting a zip file containing the PDFs themselves, and index.csv
