Workflows are how your CollegeVine agent takes automated action with students. Each workflow represents a specific type of engagement — from proactive outreach campaigns to live inbound support.
Types of workflows
Missions
A mission is a targeted outreach campaign sent to a defined group of students at a specific time. Missions are one-time sends — they fire once, to the segment you define, and don't repeat.
Common examples:
Campus Visit Invitation
Open House Invitation
FAFSA Completion Reminder
Campus Visit Encouragement
Ready Program Introduction
Email marketing
Email marketing workflows send recurring outreach to a target segment on an ongoing cadence. Unlike missions, they're not one-time — they run continuously, reaching students as they enter your defined segment.
On-CV Nurture is a variant of email marketing that delivers outreach through the CollegeVine network rather than traditional email.
Inbound phone
Your inbound phone workflow handles calls from students in real time. When a student calls your CollegeVine-powered line, the agent picks up, answers questions, and takes action based on the conversation.
Helpdesk
Your helpdesk workflow handles inbound messages from students — via SMS, email, or other channels — responding in real time and routing or escalating as needed.
Website chatbot (Website Recruiter)
Your Website Recruiter workflow powers the chat widget on your institution's site. When a student starts a conversation, the agent responds live, answers questions, and can capture interest or direct the student to next steps.
How workflows work together
Your workflows cover both sides of student engagement: the outreach you initiate, and the conversations students start with you.
A mission or email marketing workflow might prompt a student to visit campus. If they call in with questions afterward, your inbound phone workflow handles it. If they follow up over SMS, your helpdesk takes it from there. Each workflow plays a different role — but together they make sure no interaction falls through the cracks.
Frequently asked questions
Who sets up and configures my workflows?
Your CollegeVine team handles the initial configuration and onboarding. You can view your workflows, change their status (draft, live, archived), and adjust certain settings — but reach out to your success manager if you need structural changes.
Can I add new workflows?
Yes — additional workflow types can be configured as your needs grow. Talk to your success manager about what's available.
