Usage based pricing FAQ

Understanding CollegeVine pricing

How does CollegeVine pricing work?

CollegeVine is an annual subscription sized to the work your AI agents will do. Each plan comes with a set number of CollegeVine credits, which are consumed as your agents complete tasks across campus.

We help you choose the right plan based on your priority use cases and expected volume. As you scale agents into new departments or workflows, you can add more credits to match.

What are CollegeVine credits?

Credits are the unit we use to measure the underlying work your agents perform. Think of them like cloud computing credits (AWS, Azure) or data on a cell phone plan: your subscription includes a set amount, and different activities draw down at different rates.

Some tasks require more compute than others. An AI phone call to a prospective student, for example, consumes more credits than sending a text message or email. When we scope our partnership, we estimate credit consumption based on the types of work your agents will handle and the volume you expect.

Why usage-based pricing?

Two reasons:

  1. You get full flexibility to deploy agents where they matter most. Because all agents run on the same credit model, you can shift capacity between use cases, departments, or agent types without renegotiating your contract. If three months in you realize a different department needs agents more, you can redirect credits there with no contract changes.

  2. You get cost certainty. Because your commitment is priced at a discounted rate upfront, you're locking in savings on usage you'd pay for anyway instead of taking on new risk. If your usage spikes one month and dips the next, you're not penalized for the dips or surprised by the peaks, since your baseline is already covered and anything above it just draws from your committed pool.

How is my subscription sized?

We work with you to scope the partnership based on your goals, the agents you want to deploy, and the anticipated volume of work. Our pricing engine factors in the agent types, task complexity, expected interaction volume, and the underlying AI models used to produce an accurate estimate of the credits you'll need.

The result is a subscription sized to cover the work you're planning, not an arbitrary tier. You're paying for predictable access to the platform and a dedicated team to build and maintain your agents.

What happens if I use more credits than my plan includes?

No surprises. We actively monitor your usage throughout the contract term, and you have real-time access to dashboards and reporting so you always know where you stand. Your agents will never be shut off because you hit a limit.

If you're on pace to exceed your plan, you have options:

  1. Purchase additional credits mid-term to keep agents running at full capacity.

  2. Upgrade your plan for a lower per-credit rate going forward.

  3. Adjust agent configuration (for example, using a less complex or reduced horsepower model for certain tasks e.g., simple actions) to reduce your consumption rate.

What if I don't use all my credits?

Your subscription is an allotment that can be used across any number of agents or use cases.

That said, if you're consistently under your plan, our team will work with you to find additional use cases and maximize your investment. Most partners have the opposite challenge: more ideas for agents than capacity to deploy them. We'll help you prioritize and identify the highest-impact opportunities.

Do credits get cheaper at higher volumes?

Yes. The more CollegeVine you use, the lower the per-credit cost. Larger subscriptions reflect a volume discount on each credit, so partners running agents at scale get better unit economics.

The subscription commitment also benefits you: it allows us to reserve capacity and, in return, offer lower per-credit pricing than an on-demand model would.

How do I track my usage?

You have real-time access to usage dashboards and reporting that show credit consumption by agent, by use case, and over time. Our team also monitors your account and proactively flags anything unexpected, so there's always a human in the loop alongside the data.

For current partners

What does this mean for my current contract?

We are transitioning to usage-based pricing because it's more closely tied to the value you get from CollegeVine. But we are not rushing existing partners into the new model.

For now, this approach is primarily for new customers. At renewal, we'll review your contract and walk through how the new pricing maps to your usage. No existing partner will be worse off from a cost perspective as a result of this transition.

Will I pay more under the new model?

That is not the intent. We are reviewing every contract at renewal to ensure the new pricing structure doesn't negatively impact you. In most cases, the usage-based model gives you more flexibility and better alignment between what you pay and what you get.

If you have questions about your specific contract, reach out to your partner success team and we'll walk through the details together.
