This article covers how your CollegeVine agent sends emails, how often students hear from it, and how to read your email performance metrics.
How many emails can my agent send daily?
To protect your sender reputation (so emails land in inboxes rather than spam), CollegeVine automatically places a daily send allowance on your domain.
The daily send allowance is not a fixed number. It fluctuates based on engagement metrics like open rates. Strong student engagement will help accelerate capacity over time, with a floor of 200 emails sent daily.
The daily send allowance includes both email marketing messages and Missions emails.
Onboarding: You can anticipate your daily send allowance will increase approximately 30% per day. This will also fluctuate based on actual open rates.
If you pause sending emails for an extended period of time, your daily allowance will temporarily drop and will need to ramp back up at a similar pace.
How often can my agent send emails?
Email marketing messages are fully customizable and fluctuate based on constituent engagement. The default starting point is every 1–2 weeks.
Other targeted outbound emails are sent at the cadence you set.
Email events in CollegeVine reporting
The Reporting tab tracks individual email events, which you can combine to calculate standard engagement metrics.
Event | What it means |
Email delivered | The email was accepted by the recipient's mail server |
Email opened | The recipient opened the email |
Email clicked | The recipient clicked a link in the email |
Email could not be delivered | The email bounced or failed to reach the recipient |
Note: these counts are nested. Every click is a subset of opens, and every open is a subset of delivered. They do not add up to a total independently.
Standard rates
Open rate = emails opened / emails delivered
What share of delivered emails were opened. This is the most commonly referenced engagement metric.
Click rate = emails clicked / emails delivered
What share of delivered emails resulted in at least one click.
Click-to-open rate = emails clicked / emails opened
What share of people who opened the email went on to click. Useful for evaluating whether your email content is compelling once someone is already engaged.
Bounce rate = emails not delivered / total emails sent
What share of emails failed to reach recipients.
To build any of these in Reporting, select the relevant events as your metrics, save the report, and use the Metric visualization to display a single calculated number. See: Understanding reporting & insights.
What to expect
CollegeVine agents consistently outperform industry averages for higher ed email.
Metric | Industry average | CV partners typically see |
Open rate | ~21% | 35–50% |
Click rate | ~3.4% | 2–6% |
Industry benchmarks based on EAB higher education communications research. Your results will vary based on list composition, funnel stage, mission type, and how long your agent has been running.
A few things to keep in mind
Email reporting covers all activity. The Reporting tab reflects cumulative email activity across all time, not a limited window.
Your agent sends multiple touchpoints per student. Unlike a one-time campaign, your CollegeVine agent sends ongoing outreach to each constituent. Open rate and click rate reflect per-email performance, not per-student.
Consent emails are included in counts. If your partner has configured consent or opt-in emails, those will appear in your delivered and opened counts. Consent emails typically do not include a content CTA, which can affect click rates. Keep this in mind when reviewing your numbers.
