Monitoring transcript processing

How to read the reporting and activity views for your transcript processing workflow, and how to open a single transcript to see the courses it read and the GPA it produced.

Your transcript processing workflow extracts data from transcripts, recalculates GPAs based on that data, and then passes results back to you. The workflow view in CollegeVine shows you how it is performing, and it lets you open any single transcript to see the courses the workflow read off it and the GPA it produced from them.

Where to find it

  1. In the top left, use the workspace switcher to select the workspace your transcript processing workflow belongs to.

  2. Select Workflows in the left sidebar.

  3. Select your transcript processing workflow from the list.

The workflow opens with its name, a short description of what it does, and its current status at the top.

Reporting

Reporting opens on an all time view. Switch to 30 days to narrow it.

Three figures sit at the top:

  • Transcripts processed is the total volume the workflow has handled.

  • Flagged for review is the share of that volume where the workflow was not fully confident in how it classified something.

  • Staff hours saved estimates the manual review time the workflow displaced. It is calculated at 3.5 minutes per transcript, which is noted under the figure.

Under the figures, Processed over time charts your volume by date and separates transcripts that went through cleanly from those with something flagged.

Activity

Activity is the document level record. Each row is one document the workflow handled, with:

  • The student it belongs to

  • The document type

  • Its processing status

  • When it was processed

Use the search field at the top to find a specific student or document.

Look inside a single transcript

Click any row in Activity to open that document. This is the closest view you get of the workflow's reading of one student, and it is the fastest way to answer "where did this GPA come from."

You see three things:

  • The original transcript the workflow read.

  • The courses it pulled off that transcript, laid out as a table, course by course.

  • The fields it produced, including the GPA written back to the student record.

The course table is what makes this view useful. You can check the workflow's reading line by line against the document itself rather than taking the final number on faith.

💡 If a colleague ever questions a GPA, start here. Opening the original document next to the course table usually answers the question in a few seconds.
