Multi-vault account creation and management

Updated over 2 months ago

Account Creation

When working with multiple vaults across a single agent (for example, if you’re an institution who plans to have an instance of AI Recruiter for both your undergraduate population and your graduate population), each vault requires a unique login. CV will create this login for you, usually with addendums to your .edu email- often called an alias. For example “[email protected]” would be used for the primary/first vault and the alias “[email protected]” would be used for the secondary vault.

Once CollegeVine creates your alias user, you’ll receive a sign up email (pictured below) where you should click in to create your account.

From there, you can follow the instructions outlined in this article starting from step #4.

FAQ

What’s the difference between “primary” and “secondary” vaults?

“Primary” vault refers to the vault that you’ll use your main .edu address to access, and “secondary” vault refers to the vault that you’ll use an alias to access. CollegeVine will create that alias on your behalf as referenced in the Account Creation steps. There is no difference in functionality between primary or secondary vault users.

Let’s say an institution has both an AI Recruiter for Undergraduate and an AI Recruiter for Graduate. The undergraduate-first users should have the undergraduate recruiter as their primary and graduate-first users should have the graduate recruiter as their primary. but ultimately there is no difference in functionality

Can someone have two primary vaults if they’re responsible for training both of them?

No. You can access multiple vaults, but each has its own unique login, so only one will be your primary.

What do I do when I want to add more users to different vaults later in the process?

Please email [email protected] to request access to an additional vault, outlining the users and vault they need access to (example of formatting pictured below). From there, our team will generate new log ins for the appropriate vault and each team member will receive log in instructions to their respective emails.

Can we create a shared account for our student workers or other team members to help train each vault

Yes, you can create a shared account for multiple users. However, please keep the following points in mind:

  • All shared users should have access to the email or alias used to access the vault(s) in question

  • All users sharing this login will have the same permissions in CollegeVine, so we recommend some training to ensure no other settings or modes are modified on accident during vault training
