The CRM integration connects your institution's CRM (e.g., Slate, Salesforce, or another system) to the CollegeVine platform so that student data flows automatically in both directions. This keeps your AI Agent informed and your CRM up to date — without manual exports or one-off uploads.
How it works: a bi-directional sync
The integration runs in two directions:
Direction 1: Your CRM → AI Recruiter
You send the AI Recruiter a list of the prospective students you want it to engage with. This can be automated at any cadence via CSV upload, SFTP, or a native API connection.
Why this matters: Your AI agent uses the data you provide to personalize every interaction — referencing details like a student's intended major, application status, geographic region, or where they are in the enrollment funnel. The more accurate and up-to-date your records are, the more relevant and effective your agent's outreach will be. Stale or incomplete data means generic outreach.
What you send: At minimum, each record needs a name, email, date of birth, and admission year. You should also include phone number, consent flags, lead stage fields, and any other data points you want the agent to reference. See Required & recommended fields →.
Direction 2: AI Recruiter → Your CRM
At a cadence you configure — whether that's every few minutes, hourly, daily, or otherwise — the AI Recruiter sends an updated file back to your CRM containing:
All records you've sent, enriched with the latest AI engagement data (emails sent, calls made, opt-outs, conversation summaries, and more)
Agent-sourced leads — students who showed interest via your AI agent's channels and do not yet exist in your CRM
This means your CRM stays current with everything your agent has done, and you never miss a prospective student who showed interest through your AI agent.
⚠️ Important: Currently, this integration does not allow the Agent to take new learnings from its interactions and update information in your CRM (ex: contact information, event registration status, preferred major, etc.). This is to protect sensitive information in your internal systems.
The end state
Once set up, the sync runs automatically. Your team doesn't need to manually export or import data. Here's what that looks like day-to-day:
