Before you begin — CRM integration checklist

Use this checklist to make sure everything is in place before you start your CRM integration setup. Each item links to a detailed guide if you need more context. Completing these steps upfront will help avoid delays and keep your launch on track.


  • Create your CollegeVine account

    The CRM admin or data lead on your team needs a CollegeVine account before setup can begin.

  • Confirm your integration method and required credentials

    Decide how your CRM will connect to CollegeVine (SFTP or API), and confirm whether a middleware tool is needed for your setup. If using SFTP, gather your SSH key and IP addresses.

  • Create new fields in your CRM

    You'll need to add a set of new fields to your CRM records before the sync can write data back to you — including AI engagement stats, opt-out fields, and consent.

  • Confirm your required fields are present and correctly formatted

    Five fields are required for every record. Check they exist and match the accepted formats.

  • Decide which additional data points to include in your import

    Choose the fields you'll send to CollegeVine — focusing on what's useful and accurate, not everything you have.


  • Identify which students your agent should engage with

    Define your student population and make sure your query logic is set up correctly — this is one of the most important steps to get right before launch.
