That said, we don’t verify compliance, and the responsibility remains with your institution. This article outlines strategies our partners have used to successfully gather consent—these are optional, and we encourage you to consult your own legal teams as needed.


Common strategies to collect student consent

Most partners use a combination of these four strategies to gather valid consent from both new and existing student leads.

1. Add consent to your Request for Information (RFI) form

One of the most effective ways to secure consent is to update your RFI form with an opt-in checkbox.

What to include:

  • A checkbox that is unchecked by default

  • The checkbox is required to submit the form

  • Clear, specific language next to the checkbox

Example consent language:

I would like to receive telephone calls that deliver AI messages and SMS that provide details about [School Name] at this telephone number.

This approach ensures that every new lead has granted consent at the point of high intent.


Strategies for existing leads

If you already have student leads in your CRM who haven’t provided explicit consent, you can run a targeted campaign to close the gap.

2. Use a CollegeVine Mission to request consent

Create a custom Mission to reach out to students who haven’t opted in yet.

How to structure it:

  • Audience: Filter for leads where Consents to AI phone calls = false

  • Goal: Increase the number of students with Consents to AI phone calls = true

  • Content: Explain what students are opting into—e.g., reminders, personalized messages—and include a link to a hosted form where they can provide consent

Other opportunities to gather consent

3. Add opt-in to event registration forms

Incorporate consent checkboxes on forms for:

  • Campus tours

  • Webinars

  • Virtual info sessions

  • Admissions Q&A panels

Students are typically more engaged at these touchpoints, improving your opt-in rates.

4. Send a one-time email from your CRM

If you’d prefer to run a campaign outside of CollegeVine, you can send a consent collection email from your CRM or ESP. Be sure to:

  • Emphasize the value of receiving text or phone updates

  • Include a clear CTA linking to a hosted form

This is a useful way to reach students not currently engaging with CollegeVine content.


How to update CollegeVine with consent status

Once you’ve gathered consent, you’ll want to ensure your AI Recruiter can take action.

Step-by-step:

  • In the CollegeVine UI, go to the Students tab > CRM Sync

  • Locate the field labeled Consents to AI phone calls

  • When uploading or syncing leads, map your CRM’s consent field to this CollegeVine property.

Failure to map this correctly may result in consented students not being contacted—or being filtered out of important campaigns.
