Launching a new mission workflow

Updated this week

Workflows let you send targeted outbound messages to specific groups of students β€” whether for yield outreach, event reminders, deadline nudges, or any other time-sensitive or audience-specific communication. To make it easy to set up these Mission Workflows, we've built a simple blueprint that guides you through drafting and launching a mission workflow in just a few steps.

How mission workflows operate

Each mission workflow defines:

  • Workflow name: a descriptive name that you can refer to when looking at all Workflows

  • Instructions: a set of instructions that describe the desired content of the Workflow

  • Constituent segment: a specific segment that the Workflow will target

  • Outbound channel: the email address or phone number that will be used

  • End date: the date the Workflow will shut off, whether or not all messages have sent

  • Minimum days between messages: how many days between message deliveries

  • Maximum messages per constituent: how many messages to send per student

Creating a new mission workflow

To create a new mission workflow from scratch:

  1. In the left sidebar, click Workflows, then click + New.

  2. Select the mission workflow type β€” email, phone, or SMS β€” from the options.

  3. Fill out the fields and click Save, which will allow you to test in the Test Harness

  4. Edit as needed after testing, then hit launch to start the process of sending out your Workflow Mission. You will be prompted to confirm your launch as an extra layer of validation!

πŸ’‘ Give the mission workflow a clear, descriptive name that reflects its purpose, audience, and timing (e.g., "Fall 26 Yield β€” Admitted Students Email").

πŸ’‘ Learn how to create a new Segment that can be reused across different mission workflows.

πŸ’‘ When testing, use a trigger event of Constituent Entered

Viewing insights for existing mission workflows

All mission workflows are visible in your Workflows list:

  1. In the left sidebar, click Workflows under your agent.

  2. Look for workflows that you have either drafted or launched. Each will show a status of Live, Draft, Paused, or Archived.

  3. Click on your live mission workflow and navigate to Insights

  4. Click Standard Reports to view basic insights, or create your own report.
